Keyholder

Running a space that others hire, from the booking to the keys to the report for the trustees.

The problem

The hall diary lives with the caretaker. A toddler group's insurance has lapsed, last month's deposit was never returned, and nobody is sure who still has a key to the side door.

Who it is for

Village and community halls, churches, schools hiring out facilities, sports clubs, co-working spaces and studios.

What it does

  • A booking calendar for every room, with public requests and recurring bookings for regular hirers.
  • Hire agreements signed online.
  • Hirer documents such as insurance and safeguarding policies, with expiry reminders.
  • Deposits and invoices, paid by card or bank transfer.
  • Keys and access: who holds which key or code, with a handover log.
  • Set-up and cleaning tasks for caretakers and volunteers.
  • A usage report for trustees and funders: hours used and groups served, which feeds Wellspring.

Why it is different

Generic booking tools miss agreements, deposits, keys and reporting. Many venues are run by volunteers and need it simple.

AI and automation

Mostly automation: booking confirmations, invoices, deposit returns, reminders for expiring hirer documents and prompts to change door codes. AI is a light extra: a website assistant answers hirers' questions about availability and facilities and takes booking requests, saying it is an AI, and it drafts the yearly usage report for funders.

First release
