Quartermaster

Control of spending at the moment someone asks for it, not when the invoice arrives.

The problem

The invoice arrives for an order nobody remembers approving, from a supplier charging more than last time, for a delivery that came half complete.

Who it is for

Hospitality groups, schools and academy trusts, workshops and manufacturers, construction firms, charities running several projects.

What it does

  • Requests and approvals routed by budget and spending limit.
  • Purchase orders sent to suppliers from the system.
  • Goods received on a phone, including part deliveries and photos.
  • Invoice matching against the order and the delivery, then export to accounts.
  • Budgets by site, department or project, with spend shown live.
  • Supplier catalogue with agreed prices and alerts when they change.
  • Links to the rest: committed spend feeds Headroom, the supplier list feeds Vetted, and stock can link to 001 Snappy Inventory Manager.

Why it is different

Accounting software sees spending after it is committed. Quartermaster catches it at the request, without the cost of a full procurement suite.

AI and automation

AI reads supplier invoices from email or PDF, matches them to the order and the delivery, and flags price differences for a person to resolve. It suggests reorder quantities from past use and spots spending outside policy. Approvals route by spending limit automatically, and approved orders go to suppliers without retyping.
